To redefine the processing requirements of standing order releases to reduce cycle time and cost

Problem/Background:
A significant amount of time is spent looking for information and making additional copies of standing order releases between operating areas. Operational areas process over 15,000 standing order releases annually. When standing order releases are processed, excessive cost, time, and effort are expended due to the following requirements:
- Multiple form copies
- Additional photo copies
- Locating and replacing missing documents
- Storage
Objective:
Redefine processing requirements of standing order releases to reduce cycle time and cost
Constraints/Resources:
- No additional staff
- No decrease in accuracy
Key Performance Measures:
Average cycle time in processing standing order releases
Expected Results:
Implement process changes and follow-up to ensure the changes are effective and stay implemented
Review Milestones:
- Flowchart existing process
- Establish solution alternatives
- Select best alternative
Desired Report Out Date:
June 15, 1998
Update:
- Missing release requests decreased from 72 to 0
- 730 hours/year were saved
- The cycle time from the pre-team to the post-team stage was reduced by 4 days turn around time; Using inventory price averaging, 3-5 days are saved in finding the actual vendor price
