Facility Documentation Process Action Team
Goal:
Reduce the time spent accessing and reviewing available facility documentation. To improve quality of service provided by ensuring accessible facility documentation to minimize research and data gathering time and improve troubleshooting activities.

Objective:
To reduce the time spent accessing and reviewing available facility documentation and improve quality of the service provided

- Results:
- Recommended electronic storage of documentation
- A/E agreements and construction contracts to be modified to require drawings(design and as-builts)
- Drawings and product data to be submitted in electronic format
- Recommended that OPP acknowledge and implement the need to standardize on common consistent document management software
- Projected Savings:
- 50% reduction in time spent looking for existing documentation
- Eventual savings of $93,000 annually in labor for OPP funded work and $38,000 annually for customer funded work
- Future Actions:
- Train employees on new process
- Purchase 6 plotters for various shops
- Purchase PCs for needed locations
- Review status and provide quarterly updates
